This guide is here to help you get the most out of the platform. Sections to help you get setup and use advanced features are discussed in the topics below.

What is Sukiru?

Sukiru derives from the Japanese word for skill, "スキル" (sukiru). It is pronounced "sukee-roo".
Or you can call it Suki for short.

What is it?

Our industries have become social media and admin heavy, taking up time that can be spent on creative endeavours and just getting better at what we do.
Sukiru, is a platform designed to help tattoo and permanent makeup artists manage their appointments, clients, and payments more efficiently.
It provides a suite of tools to streamline your workflow, from scheduling to client management and payment processing.

Who developed it?

Sukiru is a bootstrapped project with no VC or external funding, built by a tattoo artist with software development experience.
Every feature is created with the tattoo & permanent makeup community in mind, with the goal of making artists' lives a little easier.

Why?!

There's dozens of ways to manage your admin, from pen and paper to spreadsheets, apps and software. Why choose another one?

Sukiru is built specifically for tattooing and permanent make up, which means it can evolve alongside industry requirements.
Being actively involved in the profession, new features and updates can be built to respond quickly to real world changes and challenges.
Just as important, it aims to remain sustainable and affordable for artists at every stage of their career.

How is it maintained?

The core features of Sukiru are completely free to use, including:

  • Digital diary and appointment management.
  • Client records.
  • Ink management.
  • Patch test records.
  • Notes and payment recording.

These are the tools most artists rely on every day, and they will remain free.

However, running a platform involves real costs like secure data storage, servers, email delivery, payment processing, maintenance, and ongoing development, which all require resources.

Because of this, a small number of premium features operate on a usage-based model:
  • Taking deposits and payments from clients with payment links
  • Scheduled appointment emails reminders
  • Session emails

Offering your clients' appointment dates through your Online profile is free. When accepting payments and deposits through the app there is a small platform fee.

You can either pass this fee on to your client during checkout or have it deducted from your payout.

Pricing is always transparent, and you'll never use a chargeable feature without knowing the cost beforehand.

The goal is to keep the essential tools free while ensuring the platform remains sustainable when using features that require more processing (costs).

For artists who regularly use premium features, a Premium subscription plan option will be introduced in the future.
The plan will remove transaction platform fees and include additional convenience features.

We're also exploring other ways to support the platform long term. Until those options prove viable, a fair "pay for what you use" approach to bookings & deposits feels like the best balance for everyone.

Getting Started

Welcome! This guide will help you take your first steps with our platform and get you up and running in no time.

Step 1: Create Your Account

Download Sukiru from your app store.
Create an account using Google, Apple, or another supported provider.
If you sign up with email, we’ll send you a verification email; just click the link to confirm your account and you’re all set (check your spam folder).

Step 2: Complete Your Profile

Add your name, studio (you can change these later) and choose a handle.
Your handle is the username clients will use to view your profile, respond to appointment offers, and make payments.
For consistency, we recommend using a handle similar to your Instagram username.
If your handle is already taken, try adding underscores or numbers to make it unique.

That's it!

You're on the home screen and ready to familiarise yourself with the app.
You navigate the main areas of the app using the bottom navigation bar, Home, Diary, Clients, Palette, Settings.

We've put together a 'Getting started' setup guide which is available on the top of your home screen to help you set up your main features to get the most out of the app.
These include, completing your studio details, setting up your appointment, supplier and ink brand preferences.

Account Management

Manage your account settings, security options, and personal information all in one place.

Back up your data

You don't really need to use this feature as all your data is automaticaly stored in the cloud.
We've built this feature for when we roll the app out to parts of the globe where internet connectivity can be an issue and isn't always a given.
This way users can backup their data via bluetooth to another device or to external storage, just in case they're disconnected for long periods of time and are concerned they lose their device and data.

Change your password

If you've registered using your email directly (and not your Google, Apple or Microsoft account), you can use this screen to update your account password. In other cases, you can update your password through the respective platform.

Biometric authentication

You can choose to secure areas of the app using your devices' biometric authentication such as fingerprint or face recognition.
This is optional but adds an extra layer of security to your data and the app. You can choose to secure the whole app or just specific areas such as your payments or client reports.

Online profile form

This is where you create your Sukiru space on the web. You'll need an online profile form to offer appointments, accept payments and allow clients to update their own information.

Verification & Payment settings

Creating an online User profile allows for uploading images for your banner and adding links to your socials. As an app that can be used freely this obviously opens the online profile up to misuse.
To this end, in order to publish your online User profile and make it visible to the world, you'll need to create or connect a Stripe account for verification. It reduces bot accounts and helps with accountability.
Also, in order to accept payments and deposits from your clients you need to have a valid connected Stripe account. We have no control over your account and payouts are controlled by you. We merely faciliate payments to your account if you request payments from your clients.

Updating Your Profile

Want to update your name, the country you're in or if you're tattooing or doing permanenet makeup (or both)? You do this in the profile section of your account settings.
Choosing tattooing, permanent makeup or both will help us tailor the app to your needs and show you relevant content, inks and features in the app. You can change this at any time so feel free to experiment with it to see what works best for you.

Manage Studios

Each time you book an appointment, you book it against your current studio. This is useful for when you work across multiple studios, locations or conventions and want to keep your records accurate.
You can add as many studios as you like and select the current one you're working from in this screen.
You select your current location with the icon next to the location. To mark a location inactive if you stop working there, update the studio and toggle the active option.

Palette Settings

Your palette settings allow you to set when you'd like to be notified about inks being open too long or recalls on your inks.
In most cases inks should be used within 6-12 months of opening and disposed of after 12 months but this can vary based on manufacturer guidelines and your own preferences.
For recalled inks, requiring one match (the ink name and brand) is usually sufficient as not all batch and lot numbers are available when a recall is raised. This way you can determine if the ink affected, matches the recall.
It also means if you forgot to input the batch or lot number when you added the ink to your palette, you will still be notified of a recall against this ink.
You can set these to what works best for you and your practice.

Set your Suppliers

As part of your records you're going to want to know where your inks came from. This is especially important if you want to be able to trace back any issues with inks to the supplier you got them from.
Select or remove the suppliers you use (a simple tap on the name). This tailors the app to list only the suppliers you use when adding an ink, the alternative is scrolling a complete list of suppliers.

Set Ink Brands

Choose the ink brands you use to add the inks to your palette. This tailors the app to list only the ink brands you use when you add or search for an ink and beats scrolling the entire list.

Appointment Settings

These settings allow you to set your defaults when it comes to creating an appointment, which makes the process more streamlined.
Set the approximate times you start/end your day and if you want to include payments in your appointment details. Including payments allows you to record any payments made by clients, but doesn't require you to use it.
You can also set the default expiry time for an offer for when you offer appointments to your clients, you can also update this when creating the offer.
When an offer expires the client can longer respond to it.

If you want to have all your appointments automatically added to your device calendar you can set this here too. This is optional but can be useful if you want to see all your appointments in one place and get notifications from your calendar app.
It also ensures if you ever delete the app or lose your phone, you'll have all your appointments in your own calendar.
Allow the app permissions when prompted, and select the calendar you want to use for your appointments.
We recommend creating a separate calendar for your appointments to keep them organised and separate from your personal events. But if you have an existing calendar with appointments, you can use this and there is the option in the app to convert calendar appointments to app appointments.

Appointment pre-sets allow you to create default times and durations for your appointments. Helpful if you have standard appointment lengths and times that you can select when creating an appointment instead of having to set the time and duration each time.
These will appear as options to select when creating or editing appointments, it speeds up the process of settings times.

Delete your account

If you'd like to delete your account you can do so in this section (bottom of the screen). Please note that this action is irreversible and all your data will be permanently removed. If you have any issues or concerns about your account or data, please contact us.

Get setup

This is the same process that appeared on the Home screen when you first started off. You can always go in to continue with your setup.
It's basically guides your through screens to selecting your preferred way to work, inks, suppliers and preferences.

Your Online Profile

How to manage your online profile in Sukiru.

What is it?

Your online profile is your public facing page on the web where clients can view your profile, respond to appointment offers, update their information and pay deposits or other payments you request.
You can add your social media links, website and other information to your profile to help clients find you and learn more about your work.
Additionally you can decide to personalise your profile with a cover image and avatar.

Your profile link is unique to you and is based on your handle. You can share this link with clients, on social media, your website or anywhere else you want to promote your work and make it easy for clients to find you.
Your personal profile link is in the format of https://www.sukiru.app/artist/[your handle] and can be found in your profile settings and on the home screen once you've created and published it.

Creating your profile

From your Settings screen head into the Online Profile Form screen.
You'll start with a basic layout where you can select a banner and avatar image if you like.
From here you can control the following :

  • Taking a break?
    • Only News you've added will be shown (and emails if you allow). No enquiry or other data is shown.
  • Allow Enquries using my form (Enqury form)
    • Toggling this option hides or shows your enquiry form link, provided you've added one.
  • Booking options
    • Clients can decline offer?
      • This is used when offering clients appointment dates.
        Toggling this option allows clients to decline appointment offers, in which case the offered dates will be removed from your calendar automatically.
    • Clients can ask for other dates?
      • This is used when offering clients appointment dates.
        Toggling this option allows clients to request alternative dates. In this scenario your offer will be updated in the app and require a response with updated dates.
    • When I absorb the platform fee, allow clients to optionally cover it?
      • When requesting a payment or deposit with a booking, and you've chosen to pay the platform fee, toggling this on, allows the client to see an option that allows them to cover the platform booking fee on your behalf.
        The client then sees the option : "Cover the £0.50p platform booking fee for the artist."
        If they choose the option the platform fee is added to their total before they pay.
        Stripe fees still apply though.

  • Show Socials & Links
    • Toggle this to show or hide your social media links
  • Show all active locations on my profile
    • If you work at more than one location you can choose to show all the locations or just the one you're currently working at. Locations can be marked inactive by updating a location in your Settings.
  • Blurb
    • A short one liner about you, it's optional.
  • Introduction
    • A little bit about yourself, career, style or anything you'd like to include. Totally optional.
  • Booking & Studio policies
    • What your policies are for booking, deposits, cancellations..
  • Keeping Your Data Safe
    • Let your clients know their data is in safe hands. We've added an example that can be used, you can remove it or add your own.
  • News
    • Any news you'd like your visitors to know about, like guest spots or conventions. This will also appear on booking and payment requests.
  • Social Links
    • A list of social media links for your clients to find you. Only items added are shown on your page.
  • Email address
    • An email address for clients to get in touch, optional.
  • Faqs
    • Frequently Asked Questions that your clients may find helpful. You can add up to 12 Faqs and reorder them by dragging them in the list.
  • Preview your profile
    • When updating your profile you can choose to preview it using the button provided. If you'd like to see how offered dates appear there's an option for that too. Mock dates are used to simulate how offered appointments appear on your profile and the submission button provides an quick explanation on what happens in each scenario.
  • Publishing your profile
    • Publish your online profile to create or update it with your settings and information.
      To publish your online profile will you have to verify your account.

Working with clients

Sukiru shines when it comes to centralising your client information and sessions.

Having all your clients information, sessions, inks, notes, payments and patch tests in one place makes managing admin so much easier.

Adding/Editing clients

You add a new client from the Clients screen (+).
Only a name is required although if you add an email it must be unique. Additional data such as phone, IG handle and date of birth can also be added.
You can also request the client update their information by ''Requesting Client Info' once you've added them (you'll need to have your Online profile setup).
Add clients in your contacts using the 'Contacts' to import them from your devices contact list.

To edit a client navigate to the Client's dashboard and use the edit icon.

Removing a client

You can only remove a client that has no sessions.
If you really want to remove an existing client, please remove all their sessions first.
Removing a session removes all inks, notes, images, patch tests and payments associated with that session.
The same goes for removing a client, all images, payments, patch tests and notes will be removed.

Note : When removing a client all manual payments you've added are removed. Any payment data created via Stripe will still exist in the Stripe Payouts section and in your Stripe Dashboard.

Client Sessions

All past and future booked sessions for a client are available from their dashboard.
Select the session to view/edit the details, generate reports, add/request payments, add inks, patch tests, notes and images.

Client Notes

Notes created in this client dashboard are specific to the client and are separate from any notes created in client sessions.
Notifications for clients, cancelled appointments and no shows also exist in their notes.
To remove a note, swipe left on it.

Client Images

Any images specific to a client are available under their dashboard. Upload an existing image on your mobile or take a photo.
Images are resized and compressed to save space but still retain good quality.
To remove an image you no longer find useful, select it and remove it in the image viewer screen.

Note : These are not images specific to a session but the client, session images can be captured in the sessions screen.

Ink History

The clients ink history shows all inks used accross sessions for that client.

Add the client to your waiting list

To add a client to your waiting list select the appropriate button and add an optional note. Your waiting list is accessible from your General notes on your home screen.
If you add an appointment for that client and they exist in your waiting list you'll be prompted if you want to remove them from the waiting list (just in case you forgot).

Request client information

If you need updated information for a client select this button.
If the client has an email address associated with their profile an email will be sent requesting they update their information via a secure link.
Alternatively you can copy the link from Client Info page (on your Home screen requests) and send it to them via your preferred method or if present, have them scan the QR code.
You'll need to have your Online profile set up to use this feature.

Once the client responds to the request their information will be automatically updated in the app.

View client payments

You can view all a clients payments (across sessions) from the Payments tab.
This includes manual payments you've added and payments made by the client via Stripe (from within the app). Payments made by the client via Stripe are also available in your Stripe Dashboard and in the Stripe Payouts section of the app.

Request a payment

To request a payment from the client that isn't attached to a specific session eg studio t-shirt, print, or they just owe you some cash, select the appropriate button.
Enter the amount, description and expiry date, then send the request. The description is optional and if left blank will prefill it with 'Payment to' and your name.
You'll need to have created your Online user profile and have connected your Stripe account to use this feature.

Patch tests

Patch tests can be created for a client or within a client session. Patch tests across all sessions for a client are viewable in the client dashboard. Patch tests created in a session are viewable in that session.

Create and manage patch tests

Creating a patch test

Creating a patch test is merely a case of recording the inks used, the site of the patch test and any notes you want to add. You can also add images of the patch test site and add attributes to the image to show which inks were used where.
Once the test is complete you can then record the results against the inks you used in the test.

You can create a patch test for a client from the client dashboard or in an already created session.
Sometimes you'll be creating a patch test for a client before the actual appointment is created, in this case create the patch test for the client and if and when an appointment is created, you can assign the patch test to the session.

To create a patch test you'll need to specify the Site of the patch test (area on the body).
Add a note about the patch test if required.
Select the inks being used in the patch test from your palette picker.
Save the patch test.
To remove an ink from the patch tests simply swipe it to the left and tap 'Save'.

If you want to add image to the patch test ensure you've saved it first. You can then add photos or images to it (in the images tab)

As patch testing is an important process we recommend you read up about the process of patch testing, we've included some relevant information which can be launched from the patch test tab.

It's also important to note which inks are used and since inks can look similar we've added the ability to add ink attributes to images in patch tests.

First add your image or photo of the patch test site.
Tap the image in the ink location.
You'll be prompted with the list of inks in your patch test.
Choose one or alternatively if you're just making notes you can add your own attribute.
You can move the attribute around the image to the area you want it to be, by default it appears in the area you tapped on the image.
To remove an attribute, select it and choose to remove it.

Once you've added the inks/attributes you can save the image. The attributes (or notes/inks) are saved with the image but are not part of the image itself.
When you view the image again the attributes associated with it will be loaded in a layer above the image in the locations you left them in.

If you'd like to include an image with attributes in a patch test report, you can choose to create an image with attributes. This creates a new image with the attributes as part of the image. This image can then be selected when creating reports.

Recording patch test results

You'll probably have your own methodology for performing patch tests according to your local or organisation regulations and this will affect how and when you grade and record patch test results.
To record your results, select the patch test and then select a result for each ink tested (this sets the result date for that inks as the current date), a note can be added specific to the result too if neccessary.
You can also choose to set all the results to a single result automatically using the on screen option if this happens to be the case.

Note: We've added a generic selection of possible results which covers most grading options. As we're not dermatologists this should suffice for determining if an ink should be used on a client.
Patch test grade results may differ between regions, if you feel other result options should be available, get in touch to discuss.

Generating patch test reports

To generate a pdf report of the patch test at any stage, choose generate report on the patch test.
You have some options to include any patch test images in the report, notes made and specific palette ink information eg, supplier, batch, lot number.
If you'd like to print out the report and have your client sign it for record keeping purposes you can also choose to add a signature box to the report. (in app forms may come later)

Removing patch tests

To delete a patch test select the 'more' option next to an individual patch test in the list and choose 'Delete'. This will remove the entire patch test and images associated with that patch test.

Assigning a patch test to a session

If you've created a patch test, are happy with the results and proceed to make an appointment for the client, you can assign the patch test to the session. This helps group all relevant data. You patch test will still be viewable under the client dashboard but will show that it has been assigned to a session. It will also be available in the session information screen.

Your Palette

Working with your inks

Adding inks to your palette

Your 'Palette' on the palette screen are the inks you are currently working with and are open for use.
The first time you add inks to your palette you'll be prompted to select the ink brands you use (unless you did so in the Setup guide in your home screen). This tailors the app to the ink brands you use when you add an ink instead of scrolling a complete list of ink brands.
It's worth adding the suppliers you work with in your settings too for the same reason.

Once the app has updated the information you can select an ink brand and view the inks available from that brand. You can also search for an ink by name.
To view information on an ink select the info icon next to it.
To add an ink to your palette, select it, choose the supplier you got it from and other available details.
The default open date defaults to the current date but you can change this if you opened the ink on a different date. This is important for tracking how long an ink has been open for and getting notifications when it's been open too long.
If you've just recieved the ink but aren't opening it just yet then choose the Unopened ink option. The ink will be added to your palette but won't appear when adding inks to sessions until you select it and Mark it as opened.

Ink lot and batch numbers are available on your ink labelling and are important for tracking inks in the case of a recall.
In some cases only one or the other is available, add what information is available to you.

Manufacture and expiry dates are also available on your ink labelling and are useful for tracking the age of your inks and getting notifications when they're expiring or expired.
If there is no manufacture date the app defaults to a few years prior to the expiration date.

None of the above information is required to add an ink and defaults are set to make it as quick and easy as possible to add inks to your palette, but the more information you add the better the app can help you manage your inks and keep you informed about them.

Viewing inks in your palette

Once an ink is in your palette it starts being tracked for expiry dates and ink recalls.
You can view information on your ink by selecting it which loads the Ink information screen.
Details you've added, available documents and ink attributes, recalls, and sessions the ink was used, in are available in this screen.
If you're' running low you can choose to Add to Supplies which adds the inks name to your General (home screen) notes under Supplies as a reminder.
Some inks have additional information about the ink and brand. You can access this from the Ink Hub link on the screen (only visible if it has addtional info available).

You can close or remove an ink from this screen, an ink can only be removed from your palette if it hasn't been used in any client sessions or patch tests.

Working with Custom palettes

Custom palette options are available from the Palette screen or on individual inks. When you add inks to a client session you get to select inks used from your palette.
To make this easier we've created custom palettes. Have a set of inks you use in certain cases? You can create a custom palette containing those inks.
When you select inks for a session you'll see your custom palettes and selecting one or many will add any inks in your palette that match inks in your custom palette, to your session.

Custom palettes are just collections of frequently used inks, removing or adding them has no effect on your actual Palette.

Creating a swatch

In instances where you want to use your palette colours in a digital drawing you can generate a swatch file. This can also be done for a specific session or custom palette.

Save the swatch file and import it into your digital drawing app like Pro Create or Photoshop.
Colours viewable in the app are generally taken from manufacturer swatches and marketing material and not guaranteed to look like the actual ink when applied to the skin.

Palette history

When you close an ink in your palette, it's removed from your default palette screen. The reason and date of removal are recorded.
It's still available in your Palette history and can be accessed, viewed and reinstated from this screen if required. It will also continue to appear in session reports and tracked for recalls.

Diary & Bookings

Working with your diary

An overview

The Diary screen is a calendar overview of your appointments past, present and future. You can view it in a month, day or week mode as well as a scrollable schedule.
To edit or view an existing day in (in Month view), select the day. Appointments on the day appear below.
You can select an appointment to edit it, or choose the more icon to view the clients' dashboard, view the session or delete the appointment.


Calendar indicators :
Green

Confirmed appointment
Blue
Confirmed consultation
Tan
Patch testing session
Yellow
Offered dates (awaiting confirmation from client)
Grey
Appointment in your device calendar but not a Sukiru made appointment. These can be converted to in app appointments if required.
Black
A personal appointment made by creating a client with the email you registered with. Sukiru notices that it's your email and appointments have an additional 'Personal' tag on the screen, the diary indicator for this is black. Great for booking time off.

Note: While a dormant appointment tab is also grey, it doesn't appear in your diary, only in your client dashboard, so don't confuse the two.

Creating an appointment

It's worth noting that you can create appointments in the diary screen but also from a clients dashboard (called a session). Both take you through the same process.
You can manually create an appointment in your diary directly or offer a client appointment dates, in which case the appointment is only created once they respond.
We'll start with creating an appointment directly.

From the Diary screen select the date you wish to add an appointment on and press the + Appointment button.
You'll be prompted to select a client from your client list to create the appointment for.

The appointment type defaults to 'Appointment', you can also set 'Consultation', this just distinguishes the colours you see for the appointment in your diary.
A description of the appointment is required, while the area, quote and deposit are optional.

We're creating an appointment directly so we'll ignore the Offer dates option for now.

The studio defaults to your current default studio (selected in your Settings), if you have more than one studio added you can select the studio name and choose the relevant location.
If you've added pre-set appointment times in your Settings you'll see them here and can select one to set the time and duration if relevant.

Select a date if it differs to the one visibile, on mobile this will pop up a calendar from which to select the date, on a tablet you can select the date directly from the calendar on your right.
Set the start and end time for the appointment if not already set to the appropriate time.

Another option for setting the times is available by selecting the icon on the right of the time.
This provides a day view of the date, you can select an open time slot on the view, choose the start time from below and then select and end time slot and do the same. Select done when the times are set.

If you're accepting a deposit or payment in person you can select the payments area and add the amount.
If your client has a recorded email address you can choose to send them an appointment confirmation.
This option can be adjusted in your Appointment Settings.

Select Save to save your appointment to your calendar (and if relevant send an email). If you've enabled your device calendar in your Settings it will save it there too.

Editing an existing appointment

From the diary screen or client dashboard select the appointment/session.
The process is very similar to creating and appointment except you can adjust details and then save them.

Dormant appointments

In some cases a client may postpone an upcoming appointment. In this case you'll want to free that time up in your diary but possibly don't yet have a new confirmed date for the client.
If you have notes, payments or images associated with the appointment you probably don't want to delete it and lose all that info.

In this case you can mark the appointment as Dormant. Select the appointment from your diary screen and in addition to the 'Appointment' and 'Consultation' tags at the top of the screen, you'll notice a 'Dormant' tag (grey).
Select this and update the appointment.
This removes the appointment from your diary screen and calendar device but doesn't remove any details.

When the client is ready to give you some dates/times you can find the appointment in their client dashboard under Sessions, select it and update it as an 'Appointment' with the new dates.

Deleting an appointment

In your diary screen select the date of the appointment. Next to the appointment select the 'more' icon and choose to Delete the appointment.

If there are any associated payments with this appointment you will be prompted if you want to delete them too or keep them ie. you're keeping the deposit.
You'll also be prompted as to whether this is a 'No show', 'Cancellation' or 'Other'. Choosing either of the first two generates a note in that client's dashboard together with the date, for your records.

Deleting an appointment removes all notes and images associated with the specific appointment.

Offering Appointments

How to offer your clients appointment slots from your online profile via email or using a booking link.

There are several ways to add appointments to your diary :

Create an appointment directly in your diary or via client dashboard.

This is a manual appointment creation, you select the date and time and add the appointment details. This is useful when you have a confirmed date and time for an appointment, a client comes into the studio to book the appointment or pay a deposit, you're talking on social media, or if you're adding appointments after the fact.
Or maybe moving appointment from your paper diary to Sukiru?
The client can still be sent a confirmation appointment email if they have an email address on record.

There is no platform fee associated with manually creating an appointment. Platform fees only relate to offered bookings and payments.

The only time a platform fee is applied to an appointment is when you offer dates to a client with a requested deposit and they select one of the offered dates and pay the deposit.
You will have the option to absorb the platform fee from your requested deposit or pass it on to the client.
Currently the platform fee is 0.50 GBP or currency equivalent.

Offer a client an appointment slot or multiple slots.

In this scenario you create an offered appointment. The details are captured in the normal way except you toggle the 'Offer dates' option and can add one or many date/time slots and send the client an email with those options.

If the client doesn't have an email on record your can copy the booking link and pass it on to them via social media and so on.
In order to offer dates you will need to have your Online profile setup, if you're accepting a deposit with the booking you'll also need to have connected your Stripe account. When you offer dates the appointment isn't created until the client selects a date and confirms it, this is because the offered dates may not be suitable for the client or they may not want the appointment anymore.
This way you don't end up with appointments in your diary that aren't confirmed yet.

When you create your Online profile you have options to allow clients to 'Request different dates' or state they 'No longer want the appointment', if you activate these options then you clients have more flexibility when offered dates, they can request different dates if the ones you offered aren't suitable or they can let you know they no longer want the appointment.

It's up to you whether you activate these options or not, if you don't activate them the client can only confirm the offered dates or ignore the request, in which case it will expire according to your set expiration time.
If they no longer want the appointment your diary will be updated, the offered appointments removed and a note added to the clients dashboard with the date and time of the response for your records.
If the client requests different dates you'll be alerted in the app and can then offer them different dates or create an appointment for them directly if you prefer. This is done all in the same offer request, so in some sense is kind of a back and forth on the request until the appointment is booked or removed.


Note : When offering dates to a client you can choose to require a deposit to confirm the appointment. If you select this option the client will be prompted to pay the deposit via Stripe once they have selected a time slot. Once they pay the deposit the appointment is confirmed and added to your diary.
If you're' manually creating an appointment and want a deposit you can 'Request a payment' for the appointment from the clients dashboard. They'll be emailed a payment link or you can copy it and pass it on to them yourself.
Only appointments that are accepted by the client (and a deposit is paid via Stripe) will incur a platform fee, if they decline the offer, no platform fee is applied.
Additionally only payment requests that are successfully paid, incur a platform fee.

Creating Offered Appointments

You create an offered appointment in the same way as creating a normal appointment except you toggle the 'Offer dates' option and add one or many date/time slots and send the client an email with those options.
Once you've toggled the 'Offer dates' option you can select a date and time and 'Add' it it to the offer, you can do this multiple times to add multiple options for the client to choose from. If you want to remove an offered date just select the 'X' next to it.

Next you can choose to require a deposit to confirm the appointment, you do this by adding a deposit amount. In this case the client will be prompted to pay the deposit via Stripe once they have selected a time slot. Once they pay the deposit the appointment is confirmed and added to your diary.

Note : Offered appointments still appear in your diary visually as a Yellow indicator, for all the dates that were offered to the client. They aren't added to your device calendar though.
If the appointment request is removed, all the offered dates are removed, if it's confirmed then the confirmed date turns into an appointment, signalled by a Green indicator in your diary, the other offered slots are removed.

If you've set a deposit amount you'll also have the option to pass on the Sukiru platform charge to the client, this adds the charge to the deposit amount the client pays.

Preview your offer.
Confirm the deposit amount, the dates/times offered.
Confirm the time in which this offer expires.
Choose whether to pass the platform fee to the client (adds it to their deposit total). Add an optional message your client will see with this offer.
Send the offer or Cancel to change dates or the deposit.

If the client has an email on record they'll be sent a booking/payment link to select a date and pay the deposit if required. If they don't have an email on record you can copy the booking link and pass it on to them via social media and so on.
You can also generate a QR code for the booking link which the client can scan if you're doing a process in person.

Once you've created the request you can track it from the Home screen under your 'Your Requests'. Pending requests, responses, expired requests and requests that need attention are all tracked here. In most cases you'll get a notification when any event occurs that requires your attention.

What is Stripe?

Stripe is a payment processing platform that allows you to accept online payments securely.

How is Stripe used in Sukiru?

Sukiru integrates with Stripe to facilitate verification & seamless payment processing for your clients. This integration allows clients to pay deposits when offered dates, or make payments for an appointment, aftercare or other products.

You maintain full ownership and control of your Stripe Connected Account, including access to your Stripe dashboard, account settings, and payout preferences. We do not operate or administer your Stripe account. Our integration with Stripe is strictly limited to enabling and facilitating payment processing and the transfer of funds to your Stripe account.

You'll need to have your Online user profile setup to accept payments via Stripe in the app, this is because the payment links we send to your clients are generated from your Online profile and are unique to you and your Stripe account. If you don't have an Online profile setup you can still accept payments by other means and add them manually to client sessions to keep track of your finances, but you won't be able to send payment links to clients for online payments.

Stripe Fees

Stripe charges a fee for each transaction processed through their platform. The fees vary depending on your location, the type of card or process used and the type of transaction, but generally include a percentage of the transaction amount plus a fixed fee.

It's important to review Stripe's pricing page for the most up-to-date information on fees in your region and for your specific use case.

For Core users (bascially anyone not on a Premium subscription plan) Sukiru applies a platform fee on top of the Stripe fees. This is to cover the costs of emails, storage and maintaining and developing the platform.

For Premium users there are no platform fees, you just pay the Stripe fees.

Connecting or creating your Stripe account

Connecting or creating your Stripe account is simple and can be done in a few minutes. You will need to provide some basic information about your business and bank details.
In Settings, select the option 'Verification & Payments'.

You can learn more about Stripe and it's fees by selecting the link provided.
To connect an existing Stripe account or create a new one, select 'Set up Stripe', this will launch a browser to the Stripe connect page. Follow the instructions to either connect your existing account or create a new one.

In some cases Stripe will require you to verify your identity by submitting some form of ID. This is a requirement by Stripe and not Sukiru, if you have any issues with this process please contact Stripe support.
If you have outstanding issues on your Stripe account you'll need to verify these before you can use Stripe payments in the app, you can check for any outstanding issues in your Stripe Dashboard. If you have any issues with this process please contact Stripe support.

Accepting Deposits

When offering appointment dates to a client you can choose to require a deposit to confirm the appointment.
If you select this option the client will be sent a payment link to pay the deposit via Stripe. Once they pay the deposit the appointment is confirmed and added to your diary.
For Core users you can choose to pass on the Sukiru platform fee to the client, this adds the fee on top of the deposit amount the client pays.
For Premium users there is no Sukiru platform fee so this option doesn't apply.

You can see outstanding or paid deposits in Your Requests on the home screen. In most cases you'll receive an app notification when you receive any payments.

Note : You can remove offered dates and any associated deposit by removing the request in the ' Your Requests' screen.
This can only be done if the the client hasn't paid the deposit, if they have paid the deposit you'll need to refund the payment in your Stripe Dashboard and then remove the appointment manually in the app.

Requesting Payments

If you're not offering dates but want to accept a payment from a client, either in person or otherwise, you can navigate to the client's dashboard and select 'Request Payment'.
You can enter the amount and description for the payment request and send it to the client. The client will receive a payment link to pay via Stripe and once they pay you'll receive a notification and the payment will be added to the client's profile and session if relevant.

When requesting a payment you can add multiple items to the payment request, this is useful if you're requesting payment for multiple products or services at once. The client will see a breakdown of the items in the payment request when they receive it.
Once again you have the option to pass on the Sukiru platform fee to the client if you're a Core user, this adds the fee on top of the payment amount the client pays. For Premium users there are no platform fees so this option doesn't apply.


Note 1 : You can remove payment requests in the ' Your Requests' screen.
This can only be done if the the client hasn't made the payment, if they have paid the payment you'll need to refund the payment in your Stripe Dashboard.

Note 2 : You don't have to create a payment request to accept payments in person, if they pay cash, card or voucher directly you can simply add the payment manually to the client's session if relevant.

Viewing Payments

You can get an overview of all your payments in the Payments section (available on your home screen), this includes payments made via Stripe and manually added payments for in person payments.

You can also view payments for individual clients in their client dashboard, this includes payments made via Stripe and manually added payments for in person payments.
When generating reports for a session you have the option to include payment information in the report, this includes payments made via Stripe and manually added payments for in person payments.

You have a tab for viewing 'All Payments' and a tab for 'Stripe Payments' in the Payments screen, this allows you to view all payments or just payments made via Stripe if you prefer.
'All Payments' includes payments made via Stripe and manually added payments for in person payments.
'Stripe Payments' are payments made using Sukiru's Stripe integration, it also includes the status of the payment and whether or not it's available to be paid out, pending or paid out.
You can select any transaction to view more details about it. This information comes directly from Stripe.

Payment Reports

You can generate a report of your payments in the Payments screen or for an individual client in their client dashboard. This includes payments made via Stripe and manually added payments for in person payments.

There are various options for the report, including date range, whether to show client details, payment methods and payment types.

Your Requests

The overview on your home screen summarises the status of your active requests.
These are requests you've made to your clients such as offering appointments, deposits, payments and asking them to update their information.

How your requests are displayed

The status of a request changes if the client responds to it or if it expires.
In most cases you'll have recieved a notification when a client responds to any of these requests.

The overview is grouped by :


The Client Request screen

You can view requests that are 'Awaiting Response' or 'Requires Attention' by selecting the relevant category in the overview.

Offered appointments (with and without deposit requests), Payments and Client information requests are shown in their respective tabs.
For more detailed information on offered appointments and payments select the request and view the details.

Each request has a 'more' icon that will allow you to do things like :



Note:

If you've enabled declining offered dates in your User profile Settings and a client declines the appointment, the request is considered completed.
Check your notifications for any reason they may have given.
Your Notifications screen (home screen, top right bell icon) provides a record of the results of your requests.

Quick answers to common questions about our platform.

Yes! Sukiru runs on both phones and tablets, for both iOS and Android. You can download them from the App Store or Google Play Store.

In order to send clients dates for an appointment you'll need to make sure you've created your Online Profile Form.
This can be done from your Settings page under Online profile form. All correspondence for dates and payments will be done from this page.

If you want to accept payments or take deposits when offerring dates you'll also need to connect or create a Stripe account.
This is also available in your Settings under Verification & Payments.

You can update your Online profile form in your Settings page.
If you want to view the page or pass the link to a client, tap your handle you created which should be visible on the top of your Home screen.

Yes, you can send offered dates and accept payments even with no client email.
If in person, they can scan the Qr code in the Your Requests tab or you can generate a booking or payment link in the same area and send it to them over any messaging app.

You can also request the client update their details from their Client dashboard, send them the link and have them add their email address so you have it on record in the future.

The app is free for all core features.
There is a small platform fee for Core users who request a deposit when offering dates or request payments via payment links from their online profile.
You can choose to pass this fee onto your client or have it automatically deducted from your payout amount.

Please note, the platform fee only applies when accepting payments/deposits or offering dates. It's completely free to offer dates via your online profile or manually add appointments to your diary or manually record payments in the app.

We currently only have the Core plan, we'll be adding a Premium subscription plan in the future which will remove all platform fees, for those that use features often enough for it to make financial sense.

This is generally an issue with Stripe requiring some details from you. If they are overdue Stripe sometimes rejects payments until the issue is sorted.
You can view any outstanding requirements from Stripe in your Stripe screen in Settings. You can also view them in your Stripe account dashboard which you have full control over.
In most cases you'll recieve and email or notification if there are any additional or outstanding requirements.

We take security seriously. All data is encrypted in transit and at rest using industry-standard encryption protocols. We also perform regular security audits and are compliant with major data protection regulations.
For those that make manual backups, the data is encrypted and can only be restored in the app to the same user.

You can add an enquiry form link to your online user profile for clients to get in touch.
We currently don't have a consent form link but we're looking to add a general forms feature in the future.

If you've connected a device calendar in Sukiru you can add a calendar widget to your device home screen and view upcoming appointments without opening the app.
To do this touch and hold an empty space on your device home screen, on android select 'Widgets' and find your Google calendar, on iOS find your Calendar or Google calendar. Select the calendar widget and add it to your home screen.
Month view is best for quickly seeing upcoming appointments, you can tap on a date to view the appointments for that day.

We've focussed on artist first, but we are considering a studio version in the future where individuals can link up to a studio account to share data, make bookings and other collaborative features.
